Women in AI Governance (WiAIG) is dedicated to safeguarding your privacy and ensuring that your information is handled with care, transparency, and respect. This Privacy Notice Overview page outlines how we process your personal data -how we collect, manage, store, and use data about you- across all interactions with our organization. To ensure transparency, we have set out specific Privacy Notices for different types of relationships you may have with WiAIG.

  • Who we are

    Women in AI Governance (WiAIG) is a professional membership organization that is focused on a global community and is dedicated to advancing the role and voices of women in AI governance.

    Our role with regard to your personal information

    WiAIG acts as the data controller for the personal information we collect and process, unless otherwise stated.

  • We want to be transparent about what data we collect and how we use it. Depending on how you engage with us (for example, as a website visitor, a WiAIG member, event attendee, or as a sponsor), we may collect different kinds of information from you, proportional to that relationship. 

    In general, we collect information like your name, email address, and contact information in order to correspond with you, provide you with access to the wiaig.com website and membership area, and for other related purposes. We do not sell or share your information to others, except as provided in the sections below, or to comply with a lawful request such as a subpoena or search warrant.

  • Our legal basis.

    We believe that individuals should be in control of information collected about the, and in order to process your personal data we rely on your consent in most circumstances, which you can withdraw at any time

    However, in some cases, we rely on other lawful bases when processing your information. We rely on legitimate interests for managing and securing the website and coordinating events, as well as understanding how potential members and website visitors use this website. 

  • If you have created an account with us, you can do so by going to your ‘User Profile’ page and amending information there, or by emailing [email protected] We also may maintain backup information via our cloud providers. 

    For emails and correspondence from prospective visitors, we keep information for a reasonable period of time. We retain information like IP addresses for 90 days. 

    We work with cloud providers such as Google Workspace and Wix to store and retain your personal data securely. The website is hosted by Wix.com Ltd, based in Israel, and we use Google Workspaces to manage email. We also use Wix for event signup and management. Finally, we process payment information through Paypal (based in the United States) and Wix Payments.  

  • We strive to keep only information that is necessary and proportional to what is needed to fulfill our obligations to our visitors, members, and sponsors. We have established practices and policies in place to minimize data sharing, control access, and provide secure storage. When we need to share your data with sub-processors and service providers, we have appropriate data protection agreements in place to ensure that your data is managed responsibly and in accordance with applicable privacy and data protection laws.   •  As a professional association, we do not knowingly collect data about individuals under the age of 18. 

  • As a data subject, you have a number of rights over your personal data under the data protection laws. If you wish to exercise any of your rights, please contact us at [email protected].
      

    Right of access

    You can request access to personal data we have about you, as well as details about why and how we use it. 

    Right to rectification

    If you have an account on wiaig.com, you can directly modify or change the information we have about you. You can also ask us to correct or update any personal data we hold about you which is inaccurate or incomplete.


    Right to erasure

     Under certain circumstances, you have a right to ask us to delete any personal data we hold about you. Please note that there may be situations where we must retain your personal data after a request for erasure where we have a lawful basis for doing so. 


    Right of restriction

    You can ask us to restrict the processing of your personal data in certain circumstances. For example, if you believe the data is inaccurate, unlawful, or where you object to processing.

    Right to withdraw consent or object to processing

    In cases where we rely on your consent to process data, or when we’re sending you marketing materials, you have the absolute right to withdraw consent at any time. In cases where we are relying on our legitimate interests, you have the right to object to that processing as well. We will cease processing unless we can demonstrate that an overriding interest exists, which we will notify you of.

     

    Right to opt-out of sale or sharing of data

    You have the right to opt-out to the sale or sharing of information. We don’t sell personal data, but we may share information such as the Speaker’s Roster if you have opted-in to be represented there. The best way to opt-out is to remove yourself from the Roster, or to contact us at [email protected] and ask to be removed.

    Right of data portability 

    In certain circumstances, you can ask us to transfer data we hold about you to another organization. However, this right is fairly narrow, and only applies if we process data through automated means.
      

    Right to not be subject to automated decision-making

    WiAIG does not rely on automated decision-making.

    We may change this Privacy Notice from time to time (for example, if the law changes). We recommend that you check this page regularly to keep up-to-date.
