WiAIG Member Privacy Notice

Women in AI Governance (WiAIG) values your privacy and ensures that your information is managed with care, transparency, and respect. This Privacy Notice outlines how we process your personal data if you are a WiAIG member.

Data Collected and Use

Information we collect from WiAIG members:

Membership Coordination

If you apply to become a WiAIG member, we collect your name and email address, as well as your LinkedIn profile and an affiliated website, if you choose to provide it. Your name and email are processed by Certifier sp. z o.o., a Polish company that issues member badges. We also ask for payment information when you become a member, which is processed by our payment providers Paypal & Wix Payments. This helps us to understand our membership base and improve on the benefits we offer, as well as to provide access to Members-only services and benefits. 

   

WiAIG Mentorship Spaces & Community & Leadership Groups

We believe that knowledge-sharing and collaboration is key to ensuring a successful group. To make that possible, we coordinate and manage the technical infrastructure for various mentor/mentee and community & leadership groups that can be accessed through our social hub platform,. If you choose to participate, we will need the email address you provided when signing up for membership. We also ask for your name. Other information (like your photograph) is optional.

By virtue of joining an WiAIG Community or Leadership Network group (e.g., LGBTQIA+, Black Women in AI Governance, Neurodiverse in AI Governance, etc.), it may be possible to infer sensitive information about you, based on that affiliation. We don’t use this information, but it’s important to understand that by joining, we are collecting and processing it.   

   

The WiAIG Speakers’ Roster

We want to see a more diverse set of voices represented as keynote speakers and panelists at conferences and events. Joining the WiAIG Speaker Roster offers members a platform to share their expertise and insights with a wider audience. We share this roster with conferences and other organizations who share our vision. If you want to join the speakers’ roster, we collect information like your name, email address, and contact information, current employer, job title, interests, professional background and experience, willingness to travel, and geographic location. 

Member Spotlight

 We may feature member profiles of select members who are making a real impact in the AI governance space. We get this information from your membership profile, and may reach out to you for additional biographical or other information. 

Events Coordination

If you sign up for an in-person or online event, we collect your name, email address, phone number, organizational affiliation, title, and when necessary payment information. We need this information in order to track interest and plan for events.

Photography

We take photographs of attendees at events we host, which may be featured on our website. However, we won’t use any photographs of you unless we have your consent. 

Volunteering

 If you want to volunteer to lead a local chapter, coordinate or participate at an event, or work with WiAIG in a more operational role for WiAIG, we need information such as your name, email address, and ways to contact you. 

Site Functionality

The WiAIG website collects some information automatically for purposes of ensuring overall site security and proper functionality, and to provide members with access to certain benefits and services. This information may include your IP address, general geographic location, and details about how you use the site. 

Account Information

If you sign up for membership, an account will be created for you, which includes your email address, an account id, password, and other details you provide to us. 

Our Lawful Basis

In general, we believe that you should be in control of information we collect about you. We rely on your consent in most circumstances, which you can withdraw at any time. 

However, in some cases, we rely on other lawful bases when processing your information. For example, we rely on legitimate interests to: 

 

manage and secure the website, as well as understanding how members use the website and what services or opportunities are of interest to them; 

  • provide access to and management of the mentor/mentee and community & leadership network groups;

  • feature members on the Member Spotlight page; and

  • share the Speakers’ Roster with sponsors, conferences and organizations looking for panelists and speakers. 

 

When you sign up as a WiAIG member, we also collect payment information via our payment processors Paypal and Wix Spaces, in order to fulfill a contract with you.      

Data Sharing and Transfers We do not sell your information. We may share data with service providers like Google Workspace, Wix, and PayPal for processing payments and managing data securely. We may also share the Speakers’ Roster with relevant conferences and organizations.

Retention Periods 

Membership data is retained for the duration of the membership and an additional 12 months post-membership for administrative purposes, unless consent is revoked. Account information can be modified or deleted by accessing your User Profile page or contacting us at [email protected].

We may change this Privacy Notice from time to time (for example, if the law changes). We recommend that you check this page regularly to keep up-to-date.

 

If we make any material changes to the manner in which we process and use your personal data and we have your contact information, we will contact you to let you know about the change.
